Delimited Payment File Format:

All of the fields in the left hand column with red asterisks represent field segments that must appear in the Delimited File Format which will be delimited by the designated delimiter specified in Section 1 of the payment file definition.  The first 7 fields are required to always have data in the uploaded file, for example, except for when the Payment Method is CCHK or BCHK.  For the remaining fields, the user can determine if the field should be required by selecting the checkbox in the Required Field column.  If the Required Field checkbox has been selected, the user can also select the check box in the corresponding Data Required column to determine whether the file uploaded against this file definition must have data in this field segment or not.  This information will be used by the upload program as it edits the file. Note also, that there are some fields that require data in them dependent upon the Payment Method (these fields are indicated in the Pipe Delimited File Required Fields table below.  This, and any other conditional logic, is already defined in the current pipe-delimited file upload process and it has been repeated in the table below.

Any field that is designated as a Required Field in the required field column (in addition to the fields with a red asterisk) will automatically appear in the right hand side of the page when the screen is loaded, with the numbers 1 – nn (depending upon how many fields are selected) already preloaded. In the right hand section, the user will determine the ‘order’ that the field segments will appear in the file by typing the modifications to the preloaded sequential numbers and by pressing the “Update” button that appears at the bottom of the columns.

If the user presses “Update” and not all fields have a numeric “order” indicated, then the system will present the error: “All fields must have an order designated. Please assign a

numeric order to all of the fields to determine the order in which they should appear in the upload file.”

If the user presses “Update” and some fields have the same order designated (e.g., 2 fields are assigned position 5), then the system will present the error: “All fields must have a unique numeric order/position.  Please correct the assigned order and press update.”

Once the user has successfully determined the numeric order of the fields, s/he will press “Save” or “Save & Close” to save the new file definition.
